The Coordinator - Materials Management/Purchasing is responsible for organizing and supervising supply chain operations to ensure efficient inventory control and timely distribution of medical and surgical supplies. This role collaborates with department leadership and user departments to maintain appropriate inventory levels, manage purchasing processes, and oversee daily operations of the materials management department. The Coordinator acts as a liaison between staff and vendors and assumes responsibility in the absence of the department director.

Essential Functions

  • Monitor and control inventory levels through regular spot checks and usage analysis.
  • Identify and remove outdated or damaged sterile supplies in accordance with hospital policy.
  • Supervise distribution and inventory processes to ensure timely and accurate supply delivery.
  • Ensure supplies are correctly labeled with appropriate charge and item numbers.
  • Maintain inventory levels on exchange carts to support a minimum 72-hour operational capacity.
  • Coordinate restocking efforts with clinical departments and review ongoing supply needs.
  • Support departmental operations and assume leadership responsibilities in the absence of the director.
  • Maintain department payroll records and monitor timekeeping to minimize overtime.
  • Demonstrate sound judgment, effective time management, and adherence to hospital policies.
  • Participate in performance improvement initiatives and cost-saving projects.
  • Ensure compliance with internal controls, safety standards, and regulatory requirements.

Knowledge/Skills/Abilities/Expectations

  • Working knowledge of materials management systems and hospital supply chain procedures.
  • Strong organizational, decision-making, and communication skills.
  • Ability to lead, train, and support team members effectively.
  • Proficient in basic computer applications and inventory tracking software.
  • Ability to prioritize tasks and function independently in a fast-paced environment.
  • Demonstrates core values of respect, integrity, and service.

Qualifications

Education

  • High School Diploma or Equivalent including education equivalent to completion of secondary school or demonstrated ability to perform the essential functions of the role. And
  • Bachelor’s Degree in business, healthcare administration, or related field (Preferred)

Licenses/Certifications

  • None Specified Upon Hire

Experience

  • Prior Experience in supply chain management, purchasing, or hospital materials distribution (Required) And
  • Prior Experience in supervisory role (Preferred) And
  • Prior Experience that demonstrates familiarity with medical/surgical supplies and hospital operations (Preferred)
