Job Summary

The Clerical Specialist – Administration provides high-level administrative and clerical support to hospital executives, department leaders, and administrative teams. This position is responsible for managing correspondence, scheduling meetings, preparing reports, organizing records, and performing general office duties to support efficient daily operations within the administrative department.

Essential Functions

  • Provides administrative support to leadership, including scheduling meetings, preparing agendas, and taking minutes.

  • Composes, edits, and proofreads correspondence, reports, and other documents.

  • Maintains and organizes confidential files and records in compliance with hospital policies.

  • Answers phones, greets visitors, and handles inquiries professionally and efficiently.

  • Coordinates internal communications, mail distribution, and office supply inventory.

  • Assists with data entry, spreadsheet maintenance, and report preparation.

  • Supports preparation of presentations and meeting materials for leadership teams.

  • Maintains calendar appointments and coordinates event logistics as needed.

  • Assists in tracking administrative tasks and deadlines to ensure timely completion.

  • Upholds strict confidentiality of sensitive information and supports compliance initiatives.

  • Provides backup support for other clerical staff and departments when needed.

  • Performs other duties as assigned.

Knowledge/Skills/Abilities/Expectations

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Strong written and verbal communication skills.

  • Excellent organization, time management, and attention to detail.

  • Ability to multitask and prioritize in a fast-paced environment.

  • Demonstrated professionalism, discretion, and commitment to confidentiality.

  • Familiarity with office equipment, records systems, and administrative best practices.


Qualifications

Education

  • High School Diploma or equivalent, including education equivalent to completion of secondary school or demonstrated ability to perform the essential functions of the role (required)

  • Associate’s Degree or post-secondary coursework in business administration or office management (preferred)

Licenses/Certifications

  • None required upon hire

Experience

  • Two (2) or more years of clerical or administrative support experience (required)

  • Prior experience in a related healthcare or corporate administrative setting (required)
