Job Summary

  • The Hospital Registrar performs a range of tasks related to patient registration, scheduling, and administrative support

Essential Functions

To perform this job, an individual must perform each essential function satisfactorily with or without reasonable accommodation

  • Performs all aspects of patient care in an environment that optimizes patient safety and reduces the likelihood of medical/health care errors
  • Interacts professionally with patients/families; treats patients and their families with respect and dignity
  • Effectively and appropriately communicate with patients, physicians, family members and co-workers, demonstrating  customer service excellence through application of positive language principles, appropriate response and use of constructive problem-solving techniques which foster positive outcomes
  • Greets visitors and patients with proper greeting and smile. Making them feel comfortable and welcome
  • Accurately obtain personal and financial information to admit/register patients to the hospital’s various clinical departments or inpatient care
  • Responsible for verification of insurance
  • Input patient data into the hospital’s electronic health record (EHR) system, ensuring accuracy and confidentiality
  • Assign patients to appropriate departments or physicians based on their medical needs and appointment availability
  • Collect co-pays, deductibles, and other out-of-pocket expenses from patients, providing receipts and financial information as required
  • Schedule follow-up appointments, tests, or procedures for patients, coordinating with various departments to ensure availability
  • Provide patients with necessary paperwork, including consent forms, privacy notices, and patient rights documents, ensuring they understand all information
  • Assist in resolving patient concerns or complaints related to registration, billing, or insurance, referring complex issues to the appropriate department
  • Coordinate with medical staff, and accounting staff to ensure all patient information is received and recorded accurately
  • Perform clerical duties as assigned
  • Maintains accurate and continued documentation. Documentation meets current standards and policies
  • Assists in orientation and training of new staff/students as necessary
  • Performs other reasonably related job duties as assigned or requested, within scope of practice.

Non-Essential Functions

  • Ensures necessary supplies are adequately stocked and organized
  • Ensures equipment is operating safely and correctly
  • Responsible for minor housekeeping, maintaining department/facility cleanliness and safety, as needed

  • Maintains regulatory requirements, including all state, federal and The Joint Commission regulations
  • Actively participates in performance improvement and continuous quality improvement (CQI) activities
  • Cooperates with other personnel to achieve departmental objectives, maintain good employee relations and interdepartmental objectives
  • Communicates and adheres to Every Single One (ES1), Mission and Vision, Core Values, Code of Conduct, Professional Appearance Standards and Ethics and Goals of the facility
  • Represents the organization in a positive and professional manner in the community
  • Reports to work on time and as scheduled, completes work within designated time
  • Wears identification while on duty, uses computerized punch time system correctly

Qualifications

Education

  • High School Diploma or General Equivalency Diploma (GED), or equivalent, is preferred

Required Licenses/Certifications

  • N/A

Experience

  • Customer service occupation experience preferred
  • One year of related experience or other clerical experience in a hospital or medical office department, preferred
  • Knowledge of medical terminology, highly desirable

  • Must be flexible, responding to changes in work schedule, able to work as needed for appropriate departmental coverage
  • Strong administrative skills, including knowledge of computer operations and proficiency in the use of word processing, email, electronic medical records, and other similar software as required
  • Requires critical thinking skills, decisive judgment, and the ability to work with minimal supervision
  • Excellent written, verbal and communication skills
  • Sufficient proficiency in speaking, reading, and writing the English language necessary to perform the essential functions of this job, especially with regard to activities impacting patient or employee safety or security
