Job Summary

The Health Information Management (HIM) Technician is responsible for managing and safeguarding patient medical records in accordance with hospital policy and regulatory requirements. Duties include chart filing, retrieval, scanning, analysis, processing release of information, and supporting various HIM functions. The technician ensures the integrity and confidentiality of patient information while assisting with departmental communication and data entry needs.

Essential Functions

  • Files, retrieves, and scans medical records and loose reports.
  • Processes requests for medical records from walk-in, fax, and other sources.
  • Answers phone, takes messages, routes calls appropriately, and assists with information requests.
  • Operates scanning equipment to digitize documents using batch and/or document scanners.
  • Monitors M Modal hold queue and Med Host auto fax daily; releases and refaxes reports as needed.
  • Participates in chart assembly and analysis functions as cross-trained.
  • Ensures confidentiality of patient data in compliance with HIPAA and hospital policies.
  • Communicates effectively with caregivers, patients, and visitors to ensure timely flow of information.
  • Maintains equipment and work areas in a clean and orderly condition.
  • Attends departmental meetings, in-services, and continuing education programs as required.    

Knowledge/Skills/Abilities/Expectations

  • Basic knowledge of medical record procedures and terminology.
  • Critical thinking and problem-solving skills.
  • Ability to work independently in a fast-paced, high-volume environment.
  • Excellent customer service and interpersonal communication.
  • Attention to detail and accuracy in data handling and documentation.
  • Proficiency in data entry and use of office equipment (scanners, fax, copier).  

Qualifications

Education

  • High School Diploma or equivalent (Required)

Licenses/Certifications

  • None required

Experience

  • Three (3) to six (6) months of related experience in a healthcare setting or HIM department (Preferred)
